How to Plan a Hotel FF&E Procurement Timeline

2026-08-015 min read

A practical look at how owners, designers, and procurement teams can sequence specifications, shop drawings, samples, production, logistics, and installation.

Start with the handoff points

A reliable FF&E schedule is built around handoffs: design intent to specification, specification to shop drawings, shop drawings to sampling, sampling to production, and production to logistics. Each handoff should have an owner, a due date, and a clear approval path.

Protect time for samples

Finish samples, upholstery swatches, hardware, stone, veneer, and mock-up pieces often reveal issues that drawings cannot. Treat sample review as a required project phase, not a small side task.

Coordinate production with site readiness

Hotel furniture can be ready before rooms are ready to receive it. Align manufacturing, freight, storage, elevator access, floor protection, and installation sequencing early so completed goods do not become a site problem.
